Information and Instructions for Food and Drink Caterers

THANK YOU FOR SUPPORTING OUR EVENT 

 

  1. APPLICATIONS:

    Please use the online webform. The link is at the end of this document. Please do NOT apply until you have read, understood and agree to comply. Contact us if you have a problem with online application.

 

  1. All applicants will be notified by email as soon as possible, normally within 14 days if their application has been succesful. Unallocated applicants can opt to be waitlisted.

  2. Fees: £100 unless percent of takings, subject to agreement with organisers.

  3. Fees must be paid as soon as application has been accepted otherwise allocation may be released for re-booking and are non-refundable except in the case of formal event cancellation.(Payment Instructions will be provided with acepted booking confirmation email.)

  4. Health and Safety. Submit with fee (electronic preferably) as required:

    1. relevant Liability Insurance e.g. Public (and Employee if required)

    2. food business registration document

    3. fire safety arrangements

    4. food hygiene qualifications (with copy of your last food safety inspection if available)

    5. details of power sources for cooking and hot water (generator, bottled gas or BBQ permitted)

    6. details of washing and waste handling arrangements

    7. proposed menu and charging structure



​2. MAY QUEEN FIELD ‘On The Day’

  1. Open for setup from 8.00 a.m. Public admitted from11a.m.- 5.00 p.m.

  2. Stallholders will receive two free event passes on arrival.

  3. Stall setup must be complete by 10.00 a.m. for inspection

  4. There will be NO ACCESS to the MQF after 10.15 a.m.

  5. One vehicle per stall (unless by agreed special arrangement)

  6. ALL vehicle, stall, equipment, etc must be KEPT WITHIN ALLOCATED PITCH

  7. NO VEHICLE MOVEMENT after 10.40 until event close

  8. NOTE. There are NO POWER OR WATER services provided on the MQF

  9. Prohibited sales: tobacco, alcohol (except licensed bar) and any illegal substances

  10. Limited Saturday setup is possible by agreed special arrangement

  11. Customer waste bins, tables and chairs for at least 120 will be provided in the main food court.

  12. Stallholders must remove their own waste from the field.

On arrival, you will be met by a marshal at the field entrance and you are welcome to open for business as soon as you are set up. Come early; the field will be busy very quickly as vehicles and exhibitors arrive to set up.
